Organised around a notebook metaphor, the application divides content into notebooks, sections, and pages, allowing users to structure information hierarchically. Notes can be entered through typing, handwriting with a stylus or finger, voice recording, or by inserting images, files, web clippings, and embedded documents.

The free-form canvas permits content to be placed anywhere on a page, and tools such as highlighters, drawing pens, shape recognition, and mathematical equation support are included. Ink-to-text conversion and optical character recognition allow handwritten notes and text within images to be searched.

OneNote is available across Windows, macOS, iOS, Android, and web browsers, with notebooks synchronised through Microsoft OneDrive or SharePoint. The application forms part of the Microsoft 365 suite and integrates with other Microsoft applications including Outlook, Teams, and Word.

In educational settings, the Class Notebook add-in provides a structured workspace consisting of a content library for distributing materials, a collaboration space for group work, and private student sections accessible only to the teacher and individual pupil. Staff Notebook offers a similar structure for school administrators and teaching staff.

Additional features used in schools include the Immersive Reader for accessibility support, assignment distribution, inked feedback on student work, and integration with learning management systems through Microsoft Teams for Education.
